In this organization, we introduced Database Software to collect and store patient’s data. The entire objective of this exercise was to transform the manual things into actionable digital processes so that the process of record keeping can become easier. Previously people had to wait a long time for their records to be fetched and then they had to wait for the physician to be available. This step has made the process of fetching data easier, and has also significantly reduced the patient’s waiting time.

Security of the patient data is one of the key challenges faced by healthcare organizations. It is quite often that the nurses, physicians and other hospital/ clinical staff need to work under immense stress and pressure. The cases are many, the time is short, and the patients need to be catered to immediately, otherwise, they are likely to visit some other hospital on their next visit, while sharing their bad experiences with others.

On top of this, there are many other challenges that call for digitization, and transformation of the workplace as per the era we live in. Side effects also need to be looked at, such as security and privacy, as every patient’s record contains sensitive personal information. Such information can be leveraged in least expected ways.

In order to overcome these challenges, the database management software was implemented, to save time, and ensure that the patients’ data is kept safe and secure from any external threats. This initiative has received a positive response from both the patients and the staff. The employees are reporting shorter waiting times, hence the reduced number of irritable customers. And they are also happy about the fact that things can be planned out and scheduled. Additionally, it has also helped people in focusing more on building relationships and being courteous. This gives time to keep patients happy along with providing their family members support so that they know that they can rely on the organization.

Patients can also pre-book their appointments, so that they can avoid the hassle of coming and waiting for the physician to take their case. They can simply log on to the website, mention their details, and their file number will pop up which in turn indicates to the attendant that the patient is requesting a visit. Based on this, the physician is informed of the timing, i.e. when the patient will be arriving, and the operational process becomes smoother. So, while maintaining records, the patient is also being provided an additional service that further improves his or her experience.

Based on the aforementioned traits of a successful IT transformation, I feel that this step is one of the many to make this organization an effective workplace and a superior level service provider. Not only will the company rely of data, and make strategies according to it. But it will also make people more apt at making decisions based on data. For example when people start scheduling appointments online, you can maintain a record of the times when the visitors were in high numbers, which will give you a good idea of the peak hours. This will help you in planning for the peak hours and how you can minimize waiting time during this period. Then you can employ more part time workers, or perhaps simply increase your workforce to deal with the incoming footfall.

It will also help you in gaining consumer insights, and thus plan accordingly.

Additionally, it has also helped in developing the industry, and adopting newer and faster ways of conducting business.

Continuous process improvement is an approach that should be used when a company wants to survive in this world. Competition is increasing and the world is becoming a busy place, in order for company to stay on the radar, they cannot remain aloof to the new developments. This is why I feel that the step to digitally transform record keeping while at the same time. Introducing a service for the customers which was previously unavailable at this place is something that is going to bring further improvement.
